Assistant Manager Qualification & Experience Required:
Minimum 16 years of education in the field of HR/Business/Public Administration (Specialization in HR)/Social Sciences/Economics or equivalent from HEC recognized university. At least Three (3) years of relevant experience in Public / Private organization preferably as HR / Admin Generalist.
Assistant Manager Responsibilities:
- Assist in the recruitment process by posting job vacancies, screening applications, conducting initial interviews, and coordinating with department heads to ensure timely hiring. Ensure that recruitment complies with government rules and regulations for public sector hiring.
- Maintain up-to-date employee records, including personal details, contracts, leave balances, performance reviews, and other HR-related information. Ensure that all records are kept confidential and compliant with legal and organizational requirements.
- Oversee employee attendance, ensure accurate leave records are maintained, and assist in managing the leave approval process according to organizational policies.
- Assist in the payroll process by ensuring accurate data input, verifying attendance, leave, and overtime information, and liaising with the finance department to ensure timely and accurate salary disbursements.
- Support employee welfare programs, including health benefits, pension plans, and any other employee benefits as per government rules. Address employee queries regarding benefits and entitlements.
- Assist in resolving employee conflicts, grievances, and disciplinary matters by adhering to company policies and procedures. Support HR in implementing conflict resolution techniques in line with public sector labor laws.
- Assist in managing employee performance appraisals, tracking employee performance, and ensuring that reviews are conducted in a timely and transparent manner.
- Manage office supplies, equipment, and general office inventories. Ensure that all required office materials are available, and the office environment is functional and well-maintained.
- Oversee the maintenance and cleanliness of office facilities, ensuring that health and safety standards are followed. Coordinate with external vendors for facility maintenance, repairs, and services.
- Assist in coordinating employee travel arrangements for official duties, ensuring compliance with government policies on travel allowances, accommodation, and transportation.
- Organize and maintain administrative documents, such as contracts, employee records, policies, and correspondence, ensuring they are properly filed and accessible when needed.
- Ensure that HR and administrative practices comply with labor laws, public sector regulations, and organizational policies, including employee rights, contracts, and benefits.
- Assist in managing organizational correspondence, including drafting letters, memos, and notices. Ensure that communication is clear, professional, and compliant with public sector norms.
- Coordinate and schedule meetings, conferences, and events for internal teams or external stakeholders. Organize logistics such as venue booking, materials preparation, and communication.
